Preparing the organizational structure of the institute, identifying the required needs, and organizing the scientific, technical, and administrative staffing of the departments, divisions, and units of the institute

 Following up the creation of scientific departments, divisions, units and laboratories, and changing their affiliation

 Preparing university statistics, employment status reports, and the annual statistics report

Establishing an electronic database for teachers, staff and students and updating the information periodically

Supervision and follow-up of students and trainees from colleges and other educational institutions for the purpose of training them during the summer vacation at our institute

 Follow-up and complete the mail received from the ministry / university or any other party related to studies and planning

Follow up students after graduation for the purpose of knowing their activities and the places in which they work and creating statistics for the purpose of studying the output of the institute.

Human Resources Division

Follow-up and answer the mail received from the ministry / university or any other party related to the administrative affairs of the institute

Organizing and saving the personal files of the Institute’s employees

Organizing promotion minutes and issuing administrative orders for promotion and annual bonus according to entitlement

 Issuing all administrative orders (leaves – direct and separation, transfer of services, letters of thanks, bonuses, etc.)

 Formation of committees related to administrative work

 Organizing retirement referral transactions for all employees of the Institute

 Unifying the staffing of the institute for each year and preparing a monthly statistic

 Participate in administrative processes and other annual committees

Organizing the process of borrowing books and scientific research for researchers and students.

 Organizing the process of accepting postgraduate students, following up their academic progression, and completing their graduation   papers in accordance with the instructions in force

 Follow up and complete all correspondences and endorsements needed by postgraduate students to the relevant authorities and   facilitate their mission

Issuing documents for graduated students

Documentation of all academic documents for accepted students and the validity of issuance of graduate documents

Council Secretariat Unit

Functional tasks

Organizing the affairs of the institute’s council sessions

Implementation and follow-up of the decisions of the University Council

Setting agendas, preparing minutes, and implementing decisions that fall within its powers

Organizing, editing and coordinating books and correspondence.

Coordinating appointments and interviews and securing phone calls

Pleading and following up the lawsuits filed by the institute or against it

Citizens Affairs Unit

Job tasks

Receiving requests for complaints and proposals submitted by teachers, employees of the institute or students and including them in the system

Urgent follow-up of letters received from the Ministry or the Council of Ministers without delay

Follow-up of incoming mail from the university related to citizens’ affairs

Transferring applications submitted to the Division to the competent authorities

Completion of monthly statistics for the Citizens Affairs Division

Control and audit unit

Functional tasks

Auditing the Institute’s financial actions in accordance with the laws and regulations in force

Administrative scrutiny of issued orders and participation in all specialized committees

Follow up the financial control reports and coordinate with the relevant authorities to answer the observations of the Financial Supervision Bureau

Quality Assurance and Performance Evaluation Unit

 

Functional tasks

Spreading the culture of the concept of quality and performance evaluation in the institute and their role in serving the educational process

Follow up on the implementation of quality and accreditation standards prepared by the Ministry of Higher Education and Scientific Research and international accreditation bodies and apply them at the institute

Holding seminars and workshops on quality and reliability

Follow-up and completion of files related to performance evaluation received from the Ministry / University, including

Ibn Sina e-learning unit

 Job tasks

Organizing the participation of the institute’s teachers in the training and development courses held at the university and outside it related to e-learning

Follow up and complete the incoming mail from the university / Ibn Sina Center for e-learning at our university or any other entity related to e-learning

Information technology unit

 Functional tasks

Follow-up and implementation of the programs needed by the departments, units and divisions of the Institute, in addition to conducting the necessary maintenance of computers

Work to cover the Internet for all divisions and units of the Institute and maintain it  

Website unit

  Functional tasks

Supervising the website and social networking sites of the institute

Updating the website and adding all the news and activities of the institute

Follow-up and management of the Institute’s website and communicate with all institutions via e-mail

Statistics of graduate students are made and updated on the institute’s website. We are provided with a copy of the administrative order for the student’s graduation with the average by the Student Affairs Division at the institute

Higher Education Fund Unit

Functional tasks

Preparing bills of exchange

Preparing the monthly reconciliation and balances for the account of the Higher Education Fund

Preparing the monthly minutes of the Higher Education Fund Board meeting

Answering all department correspondence

Preparing the final accounts of the accounts 

Scientific Affairs Unit

Follow up the approval of the curricula according to the controls and instructions

Follow-up granting part-time and study leaves inside the country

Follow up the implementation of pilot projects

Developing a plan for scientific conferences, seminars and workshops at the Institute and following them up with the scientific departments

Continuing Education Unit

Job tasks

Preparing and managing the annual plan for training courses held by the Institute (one-month courses)

Organizing the participation of the Institute’s employees in the training and development courses held at the university and abroad

Follow-up and complete the incoming mail from the university / development and continuing education center at our university or any other entity related to continuing education

Scientific journal and support unit

  Job tasks

Receiving and auditing research papers for the purpose of sending them to the scientific calendar according to the specialization

Coordinating with the Accounts Division for the purpose of paying publishing fees

Composing research and preparing it for paper and electronic publication

Publishing the issues of the magazine, in paper and electronic form, at a rate of four issues per year

Coordinating with the university to update the publishing conditions and scientific journal policy

Media and Public Relations Unit

Functional tasks

Covering the Institute’s activities in the media and organizing various meetings

Provide the site unit with the Institute’s activities with pictures of the activity

Missions and Cultural Relations Unit

Functional tasks

Completion of delegation, secondment, academic sabbaticals, study leaves outside Iraq, fellowships, missions, conferences and seminars outside Iraq

Hosting Arab and foreign professors to support the state of scientific advancement

Follow-up of the members of our institute who are on scholarship outside Iraq
